UCI Graduate Student Employees appointed as Graduate Student Researchers are covered by a collective bargaining agreements between the Regents of the University of California and the Student Workers Union, International Union, United Automobile, Aerospace and Agricultural Implement Workers of America (UAW) AFL-CIO. The agreements between the Regents and the UAW (AFL-CIO) can be found below.

GSR Time Reporting
When you hold a GSR, GSR Trainee, GSR Fellow appointment, you will be required to report absences/leaves on a monthly basis in the UCI Time Reporting System (TRS) effective for the pay period beginning on October 1, 2023.
- Monthly absence/leave reporting must be completed by the 6th of the month following the pay period being reported. GSRs do not enter hours that were worked.

When reporting absences/leaves, you should report the number of hours you were scheduled to work. For example, if you were scheduled to work 4 hours on a day you took Personal Time Off (PTO), you should input 4 hours of PTO in to the Time Reporting System (TRS).

GSR Personal Time Off (PTO)
GSRs with a 50% appointment have the ability to request the use of 1 Personal Time Off (PTO) day each month. You are required to seek prior approval for PTO from your supervisor/PI.
GSR Leaves
You are required to seek prior approval for absences/leaves from your supervisor/PI.
GSR Short-Term Leave
GSRs with a 50% appointment are eligible for up to two (2) days of paid short-term leave per quarter. This time is commonly used for personal illness.
GSR Long-Term Leave
Salaried GSRs may be eligible for up to eight (8) weeks of paid leave per academic year. If you need to take an extended leave please attend office hours or set up an appointment with Morgan Sibley, Student Affairs Manager.
GSR Fellows
GSR Fellows will have two active timesheets:
- GSR-Trainee/Fellow Supplement: Do not submit this timesheet
- GSR-Fellowship: This is the position that is connected to your fellowship and should be submitted.
